1. Introduction

These Terms and Conditions (“Terms”) govern all bookings, participation, and use of services provided by The Outdoor Ed School (“we”, “us”, “our”). By making a booking or participating in any of our activities, you (“you”, “your”, “participant”, “school”, “organisation”) agree to be bound by these Terms. If you do not agree to these Terms, please refrain from using our services.

2. Bookings & Confirmation

  • Bookings are considered scheduled once we have provided written acceptance via email.
  • Bookings are considered confirmed once we have received a deposit or full payment.
  • Deposit invoices will be issued if your booking is more than 3 months away and the total booking value exceeds £500.
  • Full payment is required at least 30 days prior to your activity.

3. Cancellations & Refunds

30–44 days before activity 50% of session fee payable
Less than 30 days before activity Full session fee payable

We reserve the right to cancel or amend sessions due to unsafe weather, instructor illness, operational issues, or situations beyond our control. In such cases, we will offer an alternative date or a full refund for the affected session. We are not liable for additional costs you may incur.

4. Participant Responsibilities

  • Follow all safety instructions and activity guidelines.
  • Behave responsibly at all times.
  • Wear any required safety equipment.

Failure to comply may result in the activity being stopped or swapped for a lower-risk alternative.

5. Medical Conditions

  • Schools/organisations must disclose any relevant medical conditions prior to the activity.
  • We reserve the right to exclude a participant or modify the activity if a medical condition could compromise safety.

6. Staffing, Safeguarding & Supervision

  • All instructors hold enhanced DBS checks and appropriate qualifications.
  • Schools/organisations remain responsible for supervising their students at all times unless otherwise agreed in writing.
  • We reserve the right to stop the activity if participant behaviour compromises safety.

7. Equipment & Property

  • All equipment is provided unless otherwise stated.
  • Damaged or lost equipment caused by negligence may be chargeable.

8. Weather Conditions

  • We operate in most weather conditions; however, activities may be modified for safety.
  • Activities may be relocated or substituted in extreme conditions.
  • Only in extreme conditions will sessions be cancelled.

9. Complaints & Satisfaction Guarantee

We offer a 100% satisfaction guarantee. If your session does not meet expectations, you may request a refund under the following process:

  1. Contact us within 3 working days of your activity.
  2. We will arrange a phone call to discuss the session and gather full details.
  3. A session report will be provided for your approval.

Only once all stages are complete can we process your refund.

Please note: refunds do not cover instructor costs, food fees, or travel fees.

10. Liability

  • We provide activities with reasonable care, skill, and diligence.
  • We are not liable for personal property loss, injuries from failure to follow instructions, or indirect/consequential losses.
  • Schools/organisations must ensure adequate supervision and disclose all relevant medical needs.

11. Data Protection

We comply with UK GDPR. Information collected is used solely for booking, safety, communication, and operational purposes. We do not sell or share your data.

12. Photography & Marketing

We may take photos or videos for training or marketing purposes. Schools/organisations must notify us in writing before the session if any participants cannot be included.

13. Governing Law

These Terms are governed by the laws of England and Wales. Any disputes shall be resolved exclusively in the courts of England and Wales.
